This Help page applies to manuscripts, maps, music, photographs or pictures.

Part 1. Item Details Help

Title

Enter here the title of the picture, drawing, painting, map, manuscript or music score you require or the collection that contains the item you require.

Examples:

Drawing: Portrait sketch of Vance Palmer
Manuscript: Letters (of William Smith)
Music Score: Complete songs for Children
Map: Australia:1:250,000 topographic series
Painting: View from the summit of Mount York
Photograph: Body language, Surfers Paradise

This field is mandatory.


Creator

Enter here the name of the composer, photographer, etc. who created the item you require.

If you are unable to find the name of the creator leave this field blank.


Date

Enter here the date the photograph was taken, the painting created, the manuscript written, map or music score published, etc.

If the field is not applicable to your request leave it blank.


Part/Sheet/Item Title

Enter here identifying information, for example:

Part when you request a copy of a part of an item.
Sheet when you request a copy of a segment from a piece of sheet music.
Item when you request an item from a collection.

Examples:
A manuscript item: "The letter written to John Smith on 12 June 1930 by William Smith" in Letters of William Smith entered in the title field on the form.

A map from a map series: "Series sheet S155-16" in Australia 1:250 000 topographic series entered in the title field on the form

A section of a music score: "Three happy pigs" in Complete songs for Children entered in the title field on the form.

If the field is not applicable to your request leave it blank.


Part/Sheet Number

Enter here the number of the part of the item you require.


Call Number

Call number is used to locate the item on the shelf. It is found in the Call number field of the bibliographic record in the catalogue of the National Library of Australia. If you have ordered a photocopy from the Catalogue the call number field will have the correct informtion.

If you do not know the call number of the item you are requesting, leave it blank


Additional Information

Enter here any other information such as ISBN, ISSN, ISMN, if known or any other special requirements you may have.


How to request items from a Manuscript collection

To request one or more items from within a multi-item Manuscripts collection, please include a numbered list describing the individual items required in as much detail as possible, including location details.

Please set out a list with a new line for each item. For example:

  1. Series 4, Folder 2, Box 3, Letter from Beechworth to Holmes 2 July 1948
  2. Series 4, Folder 3, Box 1, Memo by Clarence 7 August 1949
  3. Series 7, Folio Box 1, Scrapbook
  4. Series 8, Folio Box 2, black and white photo of John Smith with two dogs in a garden

If you have already flagged required items in the Reading Room, please add a note 'as flagged'.

Please note that we require separate Copies Direct orders for each Manuscripts collection (i.e. MS 1234, MS 5678)

Part 2. Order Details Help

Request Type

Select the type of copy that you need.

Photocopy/scan @ $A13.20 per 50 consecutive pages or one map sheet (this option is not available for Pictures Collection items) - select this option if you are happy with a good, legible black and white photocopy of the item.

Photograph/scan @ $A35-$A45 per image - select this option if you require a high quality photographic reproduction. This is the default option.

Then select Next to continue the order.

Copy Format

For photocopies:

The copy you request will be scanned and posted to the National Library of Australia's web site in PDF format. We will send you an email when it is ready, with a link and password to the web site to allow you to pick up the copy.

Alternatively the copy you request can be printed and sent by post or picked up from the National Library of Australia provided you specifically indicate this in the special requirements section of the form.

For photographs:

Digital Print A4 - an A4 photograph of the item will be sent to your postal address or can be collected from the National Library of Australia.

Electronic Copy TIFF (300 dpi or higher) - a digital copy of the item requested will be copied onto a CD and sent to your postal address or can be collected from the National Library of Australia.

Electronic Copy JPEG (300 dpi or higher) - a digital copy of the item requested will be copied onto a CD and sent to your postal address, emailed to you or can be collected from the National Library of Australia.

Select TIFF format when requesting an electronic copy of a map to take advantage of the high resolution. Tiff images will only be sent to you on CD, due to the file size they will not be emailed. Note: Tiff format is more stable than JPEG; JPEG may lose some detail each time you use it.


Number of copies

Enter here the number of copies you require of the photograph.


Delivery Time

For photocopies:

Delivery time refers to the time taken by the National Library to process the request. It does not include the time taken for the request to get to the Library or the time for the copy to get to you.

Services available:

For photographs:

Normal Service - delivery time is usually 3 weeks; this delivery time is not guaranteed.

Select the priority option if you require the priority service - 3 working days at TRIPLE the normal charge.

We accept only a maximum of five priority items per day. The 3 days are calculated from the time of receipt of the correctly completed order form to the time the photographs are ready for collection or to be posted.

You will be contacted if there is a delay or the service is not available. Please ring the toll free number 1800 235 627 if you do not receive the copy within the time frame you selected.


Price

This field shows what you will be charged based on your selections.


Maximum Price

Select the maximum amount you are willing to pay for a photocopy/scan. You will be charged $13.20 for every 50 consecutive pages or part thereof from a single item or one map sheet, however if the copy you requested is more than 50 consecutive pages from a single item please use this field to indicate the amount you are willing to pay. We will contact you if the amount listed does not cover the cost of photocopying.


Delivery Method

For photocopies:

Please post to the address below - the copies on CD or the photographic prints you requested will be sent to the address provided on this form.

Please email to the address below (JPEG only) - the JPEG copy you request will be sent via email

Collect from the National Library of Australia - the copy you requested will be collected by you from National Library of Australia. You will be contacted and advised where to collect the material.


Special Requirements

For photocopies:

For photographs:

Part 3. Declaration on Use Help

Select the appropriate option:

Option 1

Select this option if your intended use of the requested item is for study and research purposes. Australian Copyright Act allows the copying of a reasonable portion of an item in copyright . A reasonable portion is usually defined as:

Please note that if you request a copy of a picture, manuscript item or an oral history transcript, the reasonable portion allowance may not apply and written permission from the copyright owner may be required. We will advise you when we receive your request if permission is required.

Option 2

Select this option if your intended use of the requested item is for publishing, copying, quoting, broadcasting, performing or displaying. Under these circumstances please send written permission from the copyright owner with a copy of the request to the address listed on the Acknowledgement.

Option 3

Select this option if you are unsure which of the other two options you should select. Include details of your intended purpose. We will advise you on the receipt of your request whether we can copy the material or you will need copyright permission.

Permission From Copyright and Permissions Owners

Oral History, Manuscripts and other special collections: Access restrictions may have been set to protect privacy, or secret or sacred Indigenous content.

There are two circumstances where you may need permission from the copyright or permission owner.

Firstly, if the item you request is in copyright, according to the Australian Copyright Act 1968, you must obtain permission from the copyright owner(s) if the copy you request is for publishing, copying, quoting, broadcasting, performing or displaying. The copyright owner could be the publisher, author, donor, composer, interviewee, painter, photographer, etc. of the work. Please send a copy of the copyright owner's permission with the order.

Secondly, in addition to copyright some published and unpublished material in the collection may have access restrictions. We will advise you on the receipt of your request if permission must first be obtained before a copy can be supplied.

For example:
Oral history collection - Copyright varies and may be held by the National Library; may be shared with the interviewee/performer or retained by the collector or commissioning body. Copyright owners set access conditions for research and public use of the material, and sometimes their permission is required.

Enter your address in the fields provided. Please note this field is mandatory.

Enter the Suburb or Town in which you currently live. Please note this field is mandatory.


Country

Select the Country in which you currently live from the list.


State/Territory

Select the State or Territory you currently live in if you are from Australia otherwise enter the State, Province or Territory in this field. Please note this field is mandatory for Australian users.


Post code

Enter the post code of your current address. Please note this field is mandatory.


Phone

Enter the phone number you would prefer to be used to contact you.


Alternative phone

Enter the alternative phone number to be used to contact.


Fax number

Enter the fax number you would prefer to be to be used to contact you.


Email

Enter your contact email address. Please note this field is mandatory. If you do not have email access and have specified postal delivery or collect from the National Library as delivery options enter n/a in this field.


Part 5. Payment Help

Payment Method

Select your payment method.

Credit Card

This option enables you to pay online. Please note that you will not be charged until the copy you have requested is sent to you. Please make sure the card details provided are current and accurate.

Security is an important aspect of this service. All the details on your request are encrypted via the National Libraries Secure Server and you will note only the last 4 digits are displayed on the confirmation screen.

Cheque/money order

To make a payment by cheque or money order you need to submit the order, print out the confirmation form on the screen, attach your cheque to the form and post to the National Library of Australia at the following address:

To make a payment by money order (purchased through Australia Post) you need to submit the order, print out the confirmation form on the screen, attach your money order to the form and post to the National Library of Australia to the address above.

Please note: If you are from overseas, cheques must be drawn on an Australian bank and in Australian dollars.

NOTE: We will not process your request until we receive the cheque or money order.


Type of Credit Card

Select the type of credit card you are using to make the payment.


Security Code

American Express has introduced a 4 digit security code in an attempt to decrease credit card fraud. In order for the National Library of Australia to process your payment, you must provide the Library with the security code printed on the top right corner of your American Express card.


Credit card number

Enter the credit card number without leaving spaces or using dashes to separate each group of 4 digits.


Credit card holder's name

Enter the credit card holder's full name in this field.


Expiry Date

Select the expiry date on the credit card. This field is mandatory.


Payment Amount

You will not be charged if we cannot supply as requested.

This field will reflect the total amount based on delivery time only.

It will not reflect the maximum amount you are prepared to pay if your request exceeds the 50 consecutive pages or more than one CD covered by the base charge.

If you have selected "Obtain a copy from another library", the charge will be A$26.40. This charge will also not be reflected in this field.
