Australian Inland Mission collection

Project Brief | Cataloguing Guidelines | Preservation & Handling

Australian Inland Mission

Assembled by the Rev. Fred McKay, the collection covers all aspects of the Australian Inland Mission (AIM) and its work since its inception, particularly at the missions in Dunbar, Birdsville, Innamincka, Broome, Carnarvon, Oodnadatta, Darwin, Alice Springs, Tennant Creek, Beltana, Victoria River Downs and Port Hedland. Subjects include portraits and conditions of Aborigines, ministers of the Mission and their families, the doctors and nurses of the Aerial Medical Service. Also motor vehicles, camels, air patrols, and the Mission's hospitals and nursing homes, pedal wireless, children's camps, general scenes and landscape photographs. A large component was taken by Rev. John Flynn, including portraits and family groups. To assist identification of images, books have been borrowed from the collection and brief biography of John Flynn can be found at: http://www.rfds.org.au/history.htm#JOHN%20FLYNN.

The collection was originally arranged in 2 separate sequences relating to the Manuscript Section's initial arrangement. The first sequence consists of 17 boxes of glass slides (originally called no. 15), folio 16 (a drawer of glass slides, glass negatives, photographic prints and negatives) and folio 17 (similar to no. 16). The second sequence came from MS Box 230 to 237, and contains numerous smaller boxes of material. Any nitrate material (identified on list) has been removed from the boxes and is stored in PIC boxes 38 and 44 in the Nitrate store.

All images in good condition are to be catalogued. There are many duplicate images in the collection, often widely separated. If you are aware you have a duplicate that is already catalogued, add holdings to the existing record and indicate which image was scanned in the 856 3 subfield.

Any Aboriginal images are to be catalogued and scanned, but not displayed in the Pictures Catalogue. Use template AN 24492577 for Aboriginal images (the 530 field is different and the 856 field is not included).

Captions

Devise a caption based on the information supplied in the accession list, including location and date (where known) unless it is already in subtitle provided at top of each list. If the same caption applies to more than one photograph differentiate using numbers (check the last number on the Kinetica index). Do not use square brackets around image. Some of the lists have pencil annotations provided by a reader who is familiar with the collection - please use these where possible.

260 Date
If a single date is found on the item use subfield c, entering year and full stop.
If the date is not known enter the range of years in square brackets with or without question marks. This date(s) should match that (those) in the 008.

540 Copyright

No copyright statement is required for most records as the material is largely out of copyright.

6XX Subject access

Because this collection covers a broad range of subjects, no detailed analysis has been undertaken. Where possible, assign a topical heading (650) and a geographic heading (651). Place names can be checked for spelling, State etc. on Auslig.

The form subdivision $vPhotographs or $vPortraits should be added as appropriate.
No subject headings are required for scenes of little interest in unknown locations.

Verification level of headings
Only two verification levels should be used in completed headings: “Completed” and “Completed – review centre standard” (Kinetica’s User’s guide to authority work). All headings created at NLA should be “Completed” unless a large amount of authority work has been done on a heading in which case it can be “Completed – review centre standard”. Apparent duplicate headings on Kinetica are often the result of different verification levels being used. When selecting headings from the Kinetica index, cataloguers should select headings with verification level “Completed” if there is a choice.

Headings – Language of access point
This should always be ‘Not specified’ whether it’s a name heading, a title heading or a series heading. The default on the name heading screen is ‘English’ and this should always be changed to ‘Not Specified’.

Headings – Language of indexing
This should always be ‘English’ even if you are cataloguing a foreign language item. The default on the title heading screen is ‘Not specified’ and this should always be changed to ‘English’.

773 Linking field
The link to the collection record will be set as a default in the template. If a record is created by copying, rather than from the template, the 773 field will not be automatically copied, and needs to be inserted manually. Be aware that the first subfield always reverts to $a and has to be changed to $i .

830 Series for whole collection
The series heading Australian Inland Mission collection is set as a default in the template.

856 URL(not used in Aboriginal records)
Copy and paste the immutable into formula, adding the appropriate AN number for each record
Eg. 856 41 ºuhttp://nla.gov.au/nla.pic-an########

Where there are multiple holdings, note which image is scanned in subfield 3.

Eg. 856 41 º3P850 #/#ºuhttp://nla.gov.au/nla.pic-an########
