Cataloguing Guidelines | Project Brief

It is our policy to catalogue at subunit level only those items that are going to be digitised. This has significant implications for the Ledgar collection given the poor condition of many of the photographs. In a number of cases other copies in better condition exist within other Pictorial collections. The Pictorial policy is to digitise the best version available in the collection.

1. Hierarchy

The collection will be catalogued in a three level hierarchy:

At the top a record for the whole collection has been created

Sub-collection records for each album have also been created. The 9 subcollection records are each linked to the record for the whole collection

Subunit records required for each photograph to be digitised. These can be divided into 2 groups:

Photographs in albums - only 4 of the 9 albums have photographs selected for digitisation and needing subunit records. These subunit records will link to the relevant album record.

Loose photographs - there are many individual photographs that are not in albums for which subunit records will be created. These will link directly to the record for the whole collection.

2. Records for published material.

All of the photographs within the collection are to be catalogued as published material. With published material the policy has been to create a single record and add holdings for all copies which may exist in different Pictorial collections. Additional 440 notes are used to explain collection series titles.

3. Selection based on quality

Many photographs in the Ledgar collection are also held in other albums, or as individual items in other collections within the Pictorial Section. We are only going to catalogue and digitise the unique or good quality items in the Ledgar collection.

The implications of this for cataloguing the Ledgar collection are:

Where a photograph is unique to the Ledgar collection (ie. no other copy is held in the Pictorial Section), the Ledgar photograph will be digitised regardless of condition.

Where other copies of Ledgar photographs are held, the better quality copy will be identified. The guideines will indicate whether a Ledgar or non-Ledgar photograph has been selected for digitisation:

Where the better copy is in the Ledgar collection it will be catalogued at subunit level. Holdings for the non Ledgar copy will not be added to the subunit record.

Where the better copy is in another collection the Ledgar copy will not be digitised and will be represented by the collection record. Both copies will be catalogued and digitised at another time.

Where more than one copy is held in the Ledgar collection the better copy will be digitised, a subunit record will be created with both holdings added. The photograph digitised will be indicated in the 856 41 ‡ 3

Conversion of existing records:

A proportion of the collection has been catalogued at collection level. The following is a brief overview of the way the records should be converted. Detailed guidelines are given on the printouts of existing records, and a general overview of a typical subunit record is given below.

Existing records and treatment:

Collection level records for albums. There are 9 album records. Only 4 of the 9 albums require subunit records - 2 of these albums are duplicates.

Collection level records for groups of photographs. Previously, collection records were created around groups of items according to subject. These existing collection records can be used to create subunit records for each item in the group. The group collection records themselves will not be retained.

Item level records for individual photographs. These records should remain as subunit records but modified by adding 500, 773, 830, 856 fields.

520 ‡aRobert Ledgar's collection of photographs consists of works by numerous  well known photographers such as include J.W. Beattie, Charles Nettleton, Nicholas Caire, Samuel Sweet, E.G. Amos, Bardwell's Studios. There is also a small proportion of photographs by unknown photographers. The photographs were taken between 1858 and 1910 and show public buildings and street scenes in Melbourne, Sydney, Bendigo, Ballarat and Hobart. Many also show country life in Victoria, New South Wales, New Zealand and Tasmania.
