Digitisation of Traditional Format Library Materials

Sydney 2000 Paralympic games

Cataloguing Guidelines | Project Brief

The Collection

The collection consists of ca. 656 negatives taken by NLA staff photographers Jim Nomarhas and Loui Seselja. A selection of 113 negatives from the collection are to be individually catalogued and digitised. Of these 38 also have an exhibition print.

Jim took photographs of the Paralympic athletes and teams, village scenes, the opening and closing ceremonies, the Sydney street parade and the equestrian events.

Loui took photographs of select events including swimming, track and field and shooting, as well as medal ceremonies, spectators at Olympic Park and the Paralympic parade held in Garema Place, Canberra on 2 November 2000.

Guide to Cataloguing the Paralympic Collection

These procedures for cataloguing the Paralympic collection are similar to those developed for the Olympic collection, however the Paralympics do not have a hierarchy. A collection level record has been created and the images selected for individual cataloguing and digitisation will be created using a template.

 Important points to note:

The following records have been created for this collection:

245 Titles

Jim’s photographs are accompanied by a descriptive list providing information about either individual negatives, or small groups of negatives.  In some cases these captions will need to be edited as they are either too long, or not appropriate for a title.

Nb the dates on the list do not always match the date on the accompanying negative folder or the date of an actual event. When cataloguing the cataloguer will need to verify the dates from other sources.

Louis’ photographs do not have a descriptive list, so all titles will need to be devised by the cataloguer.

In this collection of photographs, where all athletes have a disability, it will usually be unnecessary to indicate in the title that an athlete is disabled. The allocated subject headings should provide access for researchers. However, when cataloguing this collection the following recommendations for referring to people with disabilities should be considered. These recommendations are based on the Commonwealth Disability Strategy.

The terms "people with disabilities" or a "person with a disability" is used as this puts the person before their disability.

Devising titles

Where a negative is not listed on the captions list the cataloguer will need to devise a title from information supplied on the negative packet, from the image itself and from supplementary information such as the Paralympics programme and the website. (see references).

The ºa subfield should consist of :

If the wording used in your title is taken from the descriptive list, or details on the negative packet, then you do not have to use square brackets.  However, if you have to add words or phrases they should be put in square brackets. If the same caption applies to more than one photograph differentiate them by  using numbers (check for duplicate tiles in the the Kinetica index).

Condition

Condition notes will not be required as the material is new.

520 Summary:

If there is information in the descriptive list which has not been used in the title, but which is considered to be important include that information in the 520. e.g. corporate body names that are not given a subject heading such as McDonalds.

530 Exhibition print additional form available

If there is an exhibition print of the negative give the following note:

540 Copyright

No copyright statement is required as the National Library holds copyright.

773 Linking field

If records are being copied, and the template not used, this field will not automatically copy into the record and will need to be manually entered into the record.

The PI will copy into the record but the Amicus number has to be changed. Do this change before adding the 850 field, so the record doesn't download with the wrong PI.

850 Holdings statement

The collection has been given NL38737 and NL38742 accession numbers by Imaging Services. These numbers consist of a 5 digit "job number" followed by a dash and a number for the roll of film. These numbers are written on the negative folder, and given in the caption list.

Use the number as given (i.e. with a dash) and add the frame number for the particular image. The location for both the black and white and colour negatives will be the NL Photographic collection shelves, expressed as:

LOC NL#####-# Photographic collection shelves
(ie. with the job and roll number but not the frame number)

If there is an accompanying exhibition print a second holding will need to be added. Use the same NL number/roll/frame formula but add "Exh. print". For the location of the exhibition print use the drawer number Q114.

Subject Headings

There will be two levels of subject access:

650 0 ºaSports teamsºzBelgiumºvPhotographs

600 Personal name.

For Australian sports men and women add a 600 personal name heading.

Notes on constructing personal names:
If the name is not already in the Kinetica index first check that you have searched with the correct spelling, try some alternatives. Also search the author index to see if a heading has been set up in there.
If you have to add a new heading to the index:

$v form subdivision, Portraits or Photographs?

H1935 advises the use of the subdivision Portraits for works which stress "the visual identity of the individual".

Descriptive terms for graphic materials defines portraits as:

"Graphic representation, especially of the face, of real persons, usually posed, living or dead. Pictures whose purpose is the portrayal of an individual or several people, not pictures which merely include people as part of an event or scene."

The majority of the images of people in this collection would therefore be given the $v form subdivision Photographs rather than Portraits.

650 Class of person

For Australian sports men and women add a 600 personal name heading and 650 for class of person, plus 656 term from the Occupations thesaurus.

Australian athletes example
600 10 ºaFahey, RosalieºvPortraits.
650 0 ºaHorsemen and horsewomenºzAustraliaºvPhotographs
650 0 ‡aAthletes with disabilities‡zAustralia‡vPhotographs
656 7 ºaHorse riders.º2local

Add a 650 in cases where a 600 is not used but the image is of that type of person, eg. swimmers

Assign headings to provide subject access to different aspects of people, if these aspects are significant. See H1330b. in the LCSH H lists folders.

650 0 ‡Women swimmers‡vPhotographs
650 0 ‡Athletes with disabilities‡vPhotographs
651 0 ‡aSwimmers‡vPhotographs

610 Headings for corporate bodies

Headings for corporate bodies such as McDonald's will not be added. Access to these will rely on the 245 title or 520 summary note fields.

650 Topical headings:

Additional topical headings may be required for some images. Some suggestions are listed below.

656 Occupations thesaurus.

The 656 should correspond to the 650 class of person heading.
