The collection and subcollections:

The collection consists of 2437 negatives and transparencies taken by NLA photographer Loui Seselja. Loui took photographs of a number of events associated with the Sydney 2000 Olympic Games, and also on 6 days at the actual Games. A selection of negatives from the collection is to be individually catalogued and digitised.

To aid access to the collection it has been arranged into a hierarchy of subcollections:

Guide to cataloguing the Olympic collection

These procedures for cataloguing the Olympic collection are different from the procedures that have been established so far for collections catalogued by the Digitisation team. Instead of creating records from a template the records will be copied from a series of 16 sample subunit records created for each level in the hierarchy.

Important points to note:

Working with the hierarchy:

The hierarchy is broadly divided into 2 areas:

19 collection records, with 7XX linking fields, have been created for each collection level (see Appendix A).

16 sample subunit records have been created for individual selected images, one for each level that has subunit directly below (see Appendix A).

Copy these sample records to create individual subunit records for each image selected for digitisation, adding the title, physical description, and subject headings as described below.

Cataloguing guidelines

National content

Not applicable.

Verification level

This has to be reset at "Completed – review centre standard" each time a record is created.

000 Leader line

This will copy and should not need changing in any way.

008 Coding

This will copy and should not need changing in any way.
The (known and probable) date for all the material is 2000.

043 Geographic area code

This will be either:

u-at-ne for New South Wales, or
u-at-ac for Australian Capital Territory

It will copy into a new record.

100 Main entry

Loui Seselja took all the Photographs. This will copy into the new record.

245 Title

$a the caption has to be created from information in the descriptive list (see notes below)

$h [picture] – for the black and white negatives will copy into the record. [transparency] will be needed for the colour material.

Devising titles from the descriptive list.

A descriptive list has been written which provides information about either individual negatives or small groups of negatives. It is available in a series of documents at:

The descriptive list contains information about the images, but the information has to be taken from the title for the roll as well as the individual frame information.

Using the descriptive list create a suitable, succinct and stand-alone title

If the wording used in your title is taken from the descriptive list (either roll title or frame information) then you do not have to add square brackets.
However, if you have to add words or phrases they should be put in square brackets.

Titles for Olympic Events (1.7):

The title should start with a descriptive phrase, followed by the sport, men's/women's match, Sydney 2000 Olympic Games, and date.

If it is just a general shot with nothing particular to note just give the sports, match, Sydney 2000 Olympic Games, date.

Follow the advice above about square brackets.

Australian sports men and women should be mentioned in the title, but sports men and women from other countries, especially if there are several names, can be put in the 520 field.

The venue can be mentioned in the title if it features strongly, otherwise put it in the 520.

This will copy into the record but the AMICUS number has to be changed. It can be copied from the 001 field and pasted onto the end of the formula.

850 Holdings statement

Accession numbers: the collection has not been given PIC/ accession numbers. It has been given NL numbers by Imaging Services. These numbers consist of a 5 digit "job number" followed by a dash or slash and a number for the roll of film. These numbers are written on the negative folder, and given in the caption list.

Use the number as given (i.e. with slash or dash) and add the frame number for the particular image (1-12 or 1-36)

The LOC for the black and white will be the NL Photographic collection shelves, expressed as:

(ie. with the job and roll number but not the frame number)

The LOC for the colour material will be the coldstore. The coldstore prefix and box number (if used) still has to be worked out by Preservation.

Exhibition prints:

For the LOC use the drawer number as noted on the master descriptive list (the prints are housed in several different drawers)

$v form subdivision, Portraits or Photographs?

H1935 advises the use of the subdivision Portraits for works which stress
"the visual identity of the individual".

Descriptive terms for graphic materials defines portraits as:
"Graphic representation, especially of the face, of real persons, usually posed, living or dead. Pictures whose purpose is the portrayal of an individual or several people, not pictures which merely include people as part of an event or scene."

The majority of the images of people in this collection would therefore be given the $v form subdivision Photographs rather than Portraits.

650 Class of person

These notes refer to collection 1.7 in particular.
For Australian sports men and women add a 600 personal name heading and 650 (+ 656) for class of person.

Add a 650 in cases where a 600 is not used but the image is of that type of person, eg. Archers

610 Headings for corporate bodies

Headings for corporate bodies such as McDonald’s will not be added. Access to these will rely on the 245 title or 520 summary note fields.

In 1.7 headings for sports venues should be added, these have been listed below.

Cataloguing treatment

The Special Materials Cataloguing Unit created a simple sub collection hierarchy for this collection along with a template and cataloguing guidelines which were used by the Project Team to catalogue onto the National Database.

These procedures for cataloguing the Olympic collection were different to other collections. Instead of creating records from a template, the records will be copied from a series of 16 sample subunit records created for each level in the hierarchy.

Titles were devised based on captions developed for each image by the Pictorial section. This list of captions was used as a guide to creating unique titles with a specific and consistent structure for the images selected for digitisation. A physical description for each item was added based on details in the template. Summary notes were added for additional information which was not used in the title field. Details of any exhibition prints were also added in a notes field.

There were two levels of of subject access used:

Australian sports men and women were given personal name headings, with class of person heading including a geographic subdivision. Overseas sportsmen and women, volunteers or other workers etc.) were not given a personal name heading. Topical headings were added without geographic subdivisions.

A separate record was created for each item. Key link fields were created in each record to link the individual catalogue record to the individual image file and the collection record.
