Cataloguing Guidelines | Project Brief
The collection consists of 2437 negatives and transparencies taken by NLA photographer Loui Seselja. Loui took photographs of a number of events associated with the Sydney 2000 Olympic Games, and also on 6 days at the actual Games. A selection of negatives from the collection is to be individually catalogued and digitised.
To aid access to the collection it has been arranged into a hierarchy of subcollections:
1. Sydney 2000 Olympic Games (i.e. the main collection)
1.1 Aboriginal Tent Embassy, Victoria Park, University of Sydney, 19 August and 25 September 2000
1.2 Tubowgule, the meeting of the waters, Sydney 2000 Olympic Arts Festival welcoming ceremonies, Sydney, 18 August 2000
1.3 Olympic advertising and preparations, Sydney, 17-19 August 2000
1.4 Olympic torch relay, Canberra, 5-7 September 2000
1.5 Olympic football, Canberra, 13 September 2000
1.6 Olympic parade, Canberra, 10 October 2000
1.7 Sydney 2000 Olympic Games, selected events, 20-25 September 2000
1.7.1 Badminton, table tennis, basketball and baseball events, Sydney 2000 Olympic Games, 20 September 2000
1.7.2 Hockey, archery and fencing events, Sydney 2000 Olympic Games, 21 September 2000
1.7.3 Equestrian and diving events, Sydney 2000 Olympic Games, 22 September 2000
1.7.4 Mountain bike riding, rowing and football events, Sydney 2000 Olympic Games, 23 September 2000
1.7.5 Marathon, sailing and athletics events, Sydney 2000 Olympic Games, 24 September 2000
1.7.6 Beach volleyball and gymnastics events, Sydney 2000 Olympic Games, 25 September 2000
1.8 Sydney Olympic Park, Homebush Bay and other Olympic venues in Sydney, 19-26 September 2000
1.9 Sydney hosts the Olympic Games, 19-26 September 2000
1.9.1 Sydney Harbour during the Olympic Games, including Sydney Harbour Bridge and Sydney Opera House, 19-26 September 2000
1.9.2 Transport in Sydney during the Olympic Games, 19-26 September 2000
1.9.3 Sydney during the Olympic Games, 19-26 September 2000
These procedures for cataloguing the Olympic collection are different from the procedures that have been established so far for collections catalogued by the Digitisation team. Instead of creating records from a template the records will be copied from a series of 16 sample subunit records created for each level in the hierarchy.
Important points to note:
The hierarchy is broadly divided into 2 areas:
19 collection records, with 7XX linking fields, have been created for each collection level (see Appendix A).
16 sample subunit records have been created for individual selected images, one for each level that has subunit directly below (see Appendix A).
Copy these sample records to create individual subunit records for each image selected for digitisation, adding the title, physical description, and subject headings as described below.
Not applicable.
This has to be reset at "Completed review centre standard" each time a record is created.
This will copy and should not need changing in any way.
This will copy and should not need changing in any way.
The
(known and probable) date for all the material is 2000.
This will be either:
u-at-ne for New South Wales, or
u-at-ac for Australian Capital
Territory
It will copy into a new record.
Loui Seselja took all the Photographs. This will copy into the new record.
$a the caption has to be created from information in the descriptive list (see notes below)
$h [picture] for the black and white negatives will copy into the record. [transparency] will be needed for the colour material.
$c Loui Seselja will copy into the record.
Save the heading with the following settings:

A descriptive list has been written which provides information about either individual negatives or small groups of negatives. It is available in a series of documents at:
J:\Digitisation\Project briefs\Pictorial\Olympics\Olympic captions
The descriptive list contains information about the images, but the information has to be taken from the title for the roll as well as the individual frame information.
Using the descriptive list create a suitable, succinct and stand-alone title
This should consist of :
This information in the descriptive list will, in most cases, have to
be edited.
If the wording used in your title is taken from the descriptive
list (either roll title or frame information) then you do not have to add
square brackets.
However, if you have to add words or phrases they should
be put in square brackets.
Example:
Descriptive list information:

The title should start with a descriptive phrase, followed by the sport, men's/women's match, Sydney 2000 Olympic Games, and date.
If it is just a general shot with nothing particular to note just give the sports, match, Sydney 2000 Olympic Games, date.
Follow the advice above about square brackets.
Australian sports men and women should be mentioned in the title, but sports men and women from other countries, especially if there are several names, can be put in the 520 field.
The venue can be mentioned in the title if it features strongly,
otherwise put it in the 520.

This is unpublished material, so just the date is given in the $c.
The date is 2000 for all the material.
The collection contains black and white negatives and colour transparencies.
$a Either: 1 negative
or 1 transparency
$b Mostly b&w but there are some colour transparencies.
$c There are 2 sizes:
Examples:

Title: Depending on whether information has been
added the note will either be:
aTitle devised by cataloguer using
information from the descriptive list.
aTitle from the descriptive
list.
Condition: Condition notes will not be required as the material is new and in good condition.
If there is information in the descriptive list which has not been used in the title, but which is considered to be important include that information in the 520.
The master descriptive list has been annotated to indicate the existence of an exhibition print. Where this is the case add the following note:
530 ## aExhibition print held.
This will not automatically copy into the record and so will need to be manually copied and pasted into the record.
The 773 should be based on the collection directly above in the
hierarchy.
The text for the 773 can be copied from the list in Appendix
B.
Include the first 2 characters (i ) when copying, otherwise Kinetica will convert the first field to $a which then has to be changed back to $i.
This will copy into the record but the AMICUS number has to
be changed. It can be copied from the 001 field and pasted onto the end of
the formula.
Example:
856 41 uhttp://nla.gov.au/nla.pic-an########
Accession numbers: the collection has not been given PIC/ accession numbers. It has been given NL numbers by Imaging Services. These numbers consist of a 5 digit "job number" followed by a dash or slash and a number for the roll of film. These numbers are written on the negative folder, and given in the caption list.
Use the number as given (i.e. with slash or dash) and add the frame number for the particular image (1-12 or 1-36)
The LOC for the black and white will be the NL Photographic collection shelves, expressed as:
LOC NL#####-# Photographic collection shelves
(ie. with the job
and roll number but not the frame number)
The LOC for the colour material will be the coldstore. The coldstore prefix and box number (if used) still has to be worked out by Preservation.
Exhibition prints:
Add a second holding if there is an exhibition
print.
Use the same NL number/roll/frame formula but add "Exh. print".
For the LOC use the drawer number as noted on the master descriptive list
(the prints are housed in several different drawers)
Examples of holdings statements:

General notes on subject access:
There will be two levels of subject access:
These notes refer to collection 1.7 in particular.
For Australian
sports men and women add a 600 personal name heading.
Notes on constructing personal names:
If the name is not already
in the Kinetica index first check that you have searched with the correct
spelling, try some alternatives. Also search the author index to see if a
heading has been set up in there.
If you have to add a new heading to the
index:

$v form subdivision, Portraits or Photographs?
H1935 advises the use of the subdivision Portraits for works which
stress
"the visual identity of the individual".
Descriptive terms for graphic materials defines portraits as:
"Graphic representation, especially of the face, of real persons, usually
posed, living or dead. Pictures whose purpose is the portrayal of an individual
or several people, not pictures which merely include people as part of an event
or scene."
The majority of the images of people in this collection would therefore be given the $v form subdivision Photographs rather than Portraits.
These notes refer to collection 1.7 in particular.
For Australian
sports men and women add a 600 personal name heading and 650 (+ 656) for class
of person.
Add a 650 in cases where a 600 is not used but the image is of that type of person, eg. Archers
Headings for corporate bodies such as McDonalds will not be added. Access to these will rely on the 245 title or 520 summary note fields.
In 1.7 headings for sports venues should be added, these have been listed below.
Additional topical headings may be required for some images. Some
suggestions are listed below.
See Verification level and language of
headings below.
Some common 651geographic headings for places photographed have been
listed.
These will mostly be needed for 1.3 and 1.9.
See Verification
level and language of headings below.

The 656 should correspond to the 650 class of person heading. The 656 can be found in the thesaurus, which is at: J:\OCCUTHES\OCCUTHES.DOCDecember 2000.

The Special Materials Cataloguing Unit created a simple sub collection hierarchy for this collection along with a template and cataloguing guidelines which were used by the Project Team to catalogue onto the National Database.
These procedures for cataloguing the Olympic collection were different to other collections. Instead of creating records from a template, the records will be copied from a series of 16 sample subunit records created for each level in the hierarchy.
Titles were devised based on captions developed for each image by the Pictorial section. This list of captions was used as a guide to creating unique titles with a specific and consistent structure for the images selected for digitisation. A physical description for each item was added based on details in the template. Summary notes were added for additional information which was not used in the title field. Details of any exhibition prints were also added in a notes field.
There were two levels of of subject access used:
Australian sports men and women were given personal name headings, with class of person heading including a geographic subdivision. Overseas sportsmen and women, volunteers or other workers etc.) were not given a personal name heading. Topical headings were added without geographic subdivisions.
A separate record was created for each item. Key link fields were created in each record to link the individual catalogue record to the individual image file and the collection record.
