DocStore
How do I use DocStore?
DocStore allows responding libraries to attach an electronic document to your request.
The request must be of the Service Type ‘Copy Non Returnable’, with the requested Delivery Method ‘Electronic Mail’.
To Deliver via DocStore
Ensure that the request is of the Service Type ‘Copy Non Returnable’ and the Requested Delivery Method is ‘Electronic Mail’.
Have the document available as an electronic file format on a local or networked drive. Only files with the extensions jpeg, jpg, pdf, pps, ppt, tiff*, xls, and xlw are accepted
To attach the file, click on the Add button. This will take you directly to the Documents section of the request, or in Details view, click on the Documents tab.
Click on the Browse button and navigate your way to the saved file.
Click on the lower Submit button next to the Reset form button.
Specify your Doc Disposal Conditions but do not change any other fields. Click Save.
Continue request as usual.
*Please note – DocStore can only load files with .tiff – it will not accept .tif extension.
To Receive via DocStore
From your Requestor Results view, you should see a ‘File – Delivered’ and the Status: ‘Received by Email or FTP’.
To view the document, click on the Details button and then on the Documents Tab.
Click on the hyperlinked ‘File – Delivered’.
Another browser window will open displaying the document. (Ensure you have popups enabled in your browsers settings)
Deliver your article (print or save to appropriate folder) from here, then delete your file from DocStore.
Finish request as usual.
If you cannot get the details link to work, right click on the underlined document name and use ‘save target as’ to save the file to an appropriate folder on your computer then open. Finish request as usual.
Alert Service
What are the alerts?
You can now request emailed alerts when action is needed in Libraries Australia Document Delivery. You can choose as many alerts as necessary for your particular library. To get alerts set up for your library please email the helpdesk. The alerts are:
Alerts as Requester
Conditional-Indication: When a Responder sends the conditional message for your Request.
Received by Email or FTP: When your Request has been supplied via DocStore.
Request (Idle, Check Manual): When your Request has reached the end of the rota without being supplied.
Request (Idle, For Manual Authorisation): When an Enhanced Request has been submitted from Libraries Australia Search
Alerts As Responder
Request-Indication: A new request is submitted to your location. Service level is included in subject field.
Cancel-Indication: A Cancel request is sent by the Requester for their Request.
Renewal-Indication: A Requester wants to renew a loan
As Requester and Responder
Message-Indication: A message has been sent for a Request.
How can I use the alerts?
By combining the Alerts and the Work Queues, you can manage your use of Libraries Australia Document Delivery service much more efficiently.
Renewal requests are now easily found in work queues, or sent via email alert so libraries requesting renewals should no longer have to call the lending library for renewals.
Enhanced Requesting
What is enhanced requesting?
Enhanced requesting is an optional feature in Libraries Australia Search where library clients can search the catalogue and then request an item for inter-library loan. It refers only to the “Get this item” at other libraries option. There are two forms suitable for ILL staff or end users. If your library is a member of Libraries Australia Document Delivery the request will go to your library’s account. Your library can be set up to receive an Email Alert that an Enhanced Request has been submitted from Libraries Australia Search. The request will not be activated until a staff member at your library authorises it.

Logging on to Libraries Australia Document Delivery
I don’t know / have forgotten my username and password for accessing Libraries Australia
Please contact the help desk with the following details: your name, organisation and position. If known please include your Libraries Australia organisation number and NUC symbol.
The help desk will send you an email with the details. For security reasons usernames and passwords are not given out over the phone.
I have suspended my library but I still got a request, why?
Libraries that are on an ISO system may not see suspension information. If you suspend your library you should post a message on the Libraries Australia docdel list stating your suspension dates.
When are Libraries Australia Document Delivery Invoices sent
Reports are sent bi-monthly. Invoices and payments are sent out shortly after the reports to allow time for adjustment.

Work queues
How do I use work queues?
Work queues are a quick and easy method of finding requests that require action, both as a requestor and responder. The report lists the total number of requests grouped by the request status.
Total reflects the total number of requests in that state.
Waiting reflects requests that are waiting for operator review or response.
You access work queues from the Request Search screen:
- click on the requests button in the left hand pane.
- Click on the Work Queue link at the top of the Requests Search Screen
Or
Click on the link for Responder or Requester under “Your Library’s Role”.
