2/11/05 Using the blank ILL request form
When requesting items it is best to search through the databases available through Libraries Australia Document Delivery, such as Libraries Australia, in order to place your request. Searching and requesting in this way ensures you can request from all libraries holding the item and automatically places the bibliographic details into the ILL request.
However, there are times when you may need to use a blank Libraries Australia Document Delivery request form to request an item. For example, you find an item held by a Libraries Australia Document Delivery member library by searching their catalogue directly, but you cannot find it through a Libraries Australia search in Libraries Australia Document Delivery. To use the blank Libraries Australia Document Delivery request form:
1. Go to the Request search screen (by clicking on the 'request' button on the left side of the screen).
2. click on the 'create' button (top of screen)
3. Make sure you check and/or complete the following fields:
* Material type
* Title (mandatory) - you must include a title or an error message will appear. Fill in as much bibliographic details as you can
for the supplying library, including their call number in the notes field where possible.
* Service type
* Service level
* Copyright
4. Click on the 'rota' button
5. Click in the 'add to rota' field and enter the NUC symbol of the library you wish to send the request to.
6. Click the 'add' button. You should now see the symbol display in the 'preliminary rota' box.
7. Submit the request
27/10/05 ILL/TGQ numbers
A reminder that when supplying an item to another library, please ensure you include the TGQ number of the request when you send the item. The supplying library's TGQ number is the requesting library's ILL number and greatly assists workflow when receiving items.
This courtesy is particularly important for libraries who are interoperating with Libraries Australia Document Delivery via the ISO ILL protocol because when they send out a request, their ILL and TGQ numbers are the same.
For example, when the University of South Australia (an ISO library) sends a request to a Libraries Austra Document Delivery library, their system records the same request number as both the ILL and TGQ number (e.g. 'SUSA103'). If you receive this as an incoming request, the 'SUSA103' number becomes your TGQ number and Libraries Australia Document Delivery generates an ILL number. When you supply the item to SUSA, they need to see that TGQ number in order to match the item up with requests in their system.
When printing request details from Libraries Australia Document Delivery in some cases the TGQ may only appear on the second page. If you print out the request details to include with the item when shipping please ensure to include the second page if there is one.
25/10/05 Bulk shipping and shipped cost
Customers are advised that if you use the bulk action function (click 'requests', click 'bulk') to ship requests, a shipped cost will NOT be registered against these requests.
If you bulk ship to libraries with whom you have reciprocal agreements set up in Libraries Australia Document Delivery, the reciprocal shipped cost will NOT be recorded against these requests. As the shipped cost is left blank in requests that are bulk shipped, a charge equivalent to the service level of the request, rather than the reciprocal shipped cost, will appear in Libraries Australia Document Delivery payments service reports. This means that bulk shipping is highly likely to result in incorrect shipping charges to libraries with whom you have reciprocal ILL agreements.
Also, the bulk shipping function is not compatible with ISO messaging. If you bulk ship to an ISO library, the shipped action will not be recorded successfully. The request will stay at 'pending' and your library may miss out in being paid for supplying this request.
Because there is no way to register a shipped cost when bulk shipping, and the function is not compatible with ISO messaging, we strongly suggest that you do not use the bulk action feature for the shipped action.
14/10/05 Interlending powerpoint from KAUM
The powerpont slideshows of the presentations at the Kinetica Annual Users Meeting 2005 are now available on the Kinetica website at: http://www.nla.gov.au/librariesaustralia/aum/aum05/aum05agenda.html.
Of particular interest to ILL staff are the parallel sessions containing information about interlending provided by Kinetica staff and our WAGUL colleagues.
17/8/05 Searching and requesting from University of Auckland
The University of Auckland is a new Libraries Australia Docuement Delivery member. You can request from the University of Auckland by adding it's catalogue to your search profile then searching their catalogue to place a request. To add the University of Auckland to your search profile, go to the Libraries Australia Document Delivery search screen and select "University of Auckland" from the drop down menu, beside "current profile".
If you would like to request from the University of Auckland, you will notice that holdings will be shaded out on the bibliographic records. This is because the holdings are specific to the various libraries at the University of Auckland. As the holdings are shaded out, you will not be able to click on them and add them to the rota. Instead, go to the Request screen and add University of Auckland to rota manually using the location code 'NLNZ:AU'.
9/8/05 Shipped cost for requests from NZ libraries
Libraries Australia Document Delivery has now been configured to default a shipped cost for requests shipped to New Zealand libraries. The default shipped costs for requests from New Zealand do not include the GST component and are as follows:
Core service level = $12.00
Rush service level - $24.00
Express service level = $36.00
Priority service level = $18.00
As with other shipped cost defaults, if you do not wish to change the default cost, you do not need to click the 'recalc cost' button before submitting the shipped action.
If your library wishes to charge a shipped cost that is different from the default, simply change the cost on the shipping screen in Libraries Australia Document Delivery, click the 'recalc cost' button and then submit the request.

29/7/05 Libraries Australia - new loan and copy request form
A recent release of Libraries Australia included several new features which may appeal to interlibrary loan and document delivery staff. One of these new features is a simple loan and copy request form accessible via the "Get This Item" screen.
Designed for library staff, the new form is easier to use and does not require the library staff member to enter details such as barcode and name. The existing loan and copy request form was designed for end users and includes extra fields.
Libraries that have enhanced requesting turned on now have a choice between the existing loan/copy form and the new short ILL form.
For Libraries Australia Document Delivery members, requests made using either request form will continue to be mediated through Libraries Australia Document Delivery.

23/5/05 Reciprocal ILL Agreements
Libraries Australia Document Delivery can now be configured to default a particular amount in the shipped cost field according to your library's reciprocal interlibrary loan agreements.
For example, if your library has a reciprocal agreement with another library, and you do not charge each other for interlibrary loans, you can now specify that the shipped cost default to $0 for that library.
This new feature will save your library time as you will no longer need to manually input the reciprocal cost. Non reciprocal requests that your library supplies will continue to default a shipped cost according to the ILRS Code. This service is only offered to supplying libraries.
The form to detail your reciprocal agreements can be found here. Please ensure you include your library's NUC symbol, the amount you wish to default and the service level of the request. Completed forms should be sent to the Libraries Australia Help Desk.
