IP Authentication in New Kinetica services
Comment from a library that it is not permitted to disclose its IP address. Kinetica Response: Not all libraries will be able to take advantage of this new functionality, and it will still be possible to use your user name and password to log in.
Question: Will libraries with multiple NUCs be able to be authenticated using IP Address? Kinetica Response: You will only be able to be authenticated using IP address if you have the same IP Address or IP Address Range
Reporting of Duplicate Records
Question: Can the duplicate reporting form be placed at a more obvious location in the Kinetica Website? Kinetica Response: We will look at ways of making the form more obvious on the Kinetica Website.
In addition, we will create a link to the Duplicate Reporting Form from KineticaWeb.
Question: Can the level of detail on the Duplicate Reporting Form be reduced? Kinetica Response: The only really important details are the Amicus Numbers of the records. However, in many cases, the more information supplied, the easier it is for Kinetica staff to resolve.
Z39.50 Output Format
Question: Is the Amicus Number output in the MARC 019 field when using Z39.50? Kinetica Response: No. Data in the records will be output in the same MARC fields that the data occurs in in the Amicus system.
Unlike records downloaded via MARCLink or TPS DLL, or received through Kinetica products files, records copied via Z39.50 do not undergo a "Conversion out" process to migrate data in the records to different fields.
Updating Holdings
Question: How do I update my holdings on the local system so they reflect what is on NBD or vice versa. Kinetica Response: Call the Help Desk. Kinetica can supply a list of your NBD holdings and you can compare this with your local system holdings. We can supply you with a file of your holdings on the NBD to update your system.
Alternatively, Your holdings in Kinetica can be updated by supplying us with a file to load via Batch*Link, or we can do a Global Holdings Update on the NBD for you at no cost. Please call the Kinetica Help Desk to discuss the options.
Comment: Some libraries do not update holdings for serials, because of library policy Kinetica Response: Kinetica cannot dictate library policies, but closing of serial holdings where applicable is best practice, and is vital for effective resource sharing and ILL.
Libraries that update their serial holdings in their own system can regularly update their holdings in the NBD using Batch*Link
The same is true for items no longer held, or where the shelf location/call number has changed.
Searching: Stop Words and Filing Indicators
Comment: A search was done on a particular journal title starting with 'The…'. There were no hits. When the 'The' was removed, the item was found. Kinetica Response: The most likely reason the item was not discovered was the use of the filing indicator. Filing indicators on a MARC record identify where a Title search should start. So, a filing indicator of '4' on the following title 'The Land' would exclude the word 'The ' (and the blank space). This would mean that a title search would not find 'The Land', but a search on 'Land' would return a hit. Of course, if the record had a filing indicator of '0', the search on 'The Land' would return a hit.
FYI- Kinetica runs an automatic application that adds filing indicators to the title field of records that fit a certain description. This application however, runs monthly, so there is the possibility that a record will be without filing indicators for up to a month.
Apparently inconsistent results in searching when carrying out a keyword search can also be due to Stop Words, which are not indexed. The following are the stop words not indexed in Kinetica:. Please note: stopwords still affect searching through KDD as KDD search uses keyword searches.

Searching: Options
Question: Will the "Any keyword" option be retained in new Search system? Kinetica Response: Yes, and it will also be expanded to enable searching of numbers such as ISBN and ISSN
Local system number conversion from 001 to 035 field. Who does this? Kinetica Response: Customers should output their file to us with their local system number in the 035 field. Most local systems have a back-end program for set-up of output file.
Acquisitions suppliers and MARC records
Question: Are there any plans for Kinetica to offer a "PromptCat" type service? Kinetica Response: We have investigated the issue of MARC records with library holdings being supplied to the NBD several times, and we are currently investigating one such scenario.
Shelf-Ready Services
Comment: One participant suggested that a difficulty with shelf-ready services is often one of managing the size of consignments that are received. This is often determined by factors outside the library or cataloguing section's control and can often have a major impact on the efficiency of the service.
Contributing to the NBD
Participants at one of the workshops were quite vocal about contribution to the NBD. Often the managers who are making decisions about whether to contribute are outside the library (eg. Councils, companies) and not well-enough informed of the benefits of contribution and their ability to have control over ILL. Action: Kinetica to look at ways of spreading the message.
Question on importing records into the Cataloguing Client Kinetica Response: From KineticaWeb records can be saved and exported as a file to your local system or a PC, or emailed to you. Cataloguing Issues
Comment: Some libraries use local practices for GMDs :, eg "DVD" Kinetica Response: Kinetica encourages cataloguers to use the standard terms for GMDs. If local practices are used, this will affect the value of the records for resource sharing, and may lead to duplication in the NBD if title matching on records already in the database.
Those libraries using local practices for GMD should try and convert to standard usage on output of the records for Batch*Link.
"DVD" will mostly be [videorecording] but [sound recording] or [electronic resource] may also be appropriate.
Question: Given the minimum record standard why are ISBN records, which do not comply with the minimum standard, allowed in the NBD? Kinetica Response: the NBD does not reject records that do not meet the standard. Some contributors may be unable to meet the minimum standard and we do not want to enforce the standard at the expense of not getting their records at all. ISBN records are created for Thorpe's internal purposes and do not meet minimum standard but are considered high priority records because they are vital for acquisition and claiming purposes.
Question: What is the NBD policy on Dewey edition changes and reclassification Kinetica Response: The NBD standard for DDC is the latest full edition (currently ed. 22). If your library is using an earlier or abridged edition, this needs to be recorded in the "2" subfield of the DDC (082) tag. Reclassifying of material that has been moved in DDC schedules is an individual library decision. What is most important, regardless of which edition you use, is that your holdings statement reflects the correct location in your collection.
Question: What is the established form of qualifier for electronic resources as MARC 630? Kinetica Response: Clarification is currently being sought from the Library of Congress
Question: How are theses identified? Kinetica Response: Leader Character Position 06 = t and/or 502 dissertation note
Question: Are the booklets of MARC codes issued when Kinetica first started still available? Kinetica Response: The booklets are no longer in print and no copies remain. However, you can download a copy of the Concise MARC 21 format from the Library of Congress Website at:

E-Resources
Question: What are the comparative costs of cataloguing e-Resources: by subscribing to Kinetica e-Collection sets or to acommercial e-collection set provider? Kinetica Response: The Kinetica e-Collection sets are very much cheaper. Kinetica subsidises these sets to encourage libraries to add their holdings to these records. It actually costs Kinetica approximately $6,000 per set to create and maintain the set; however the chanrge for a base set and updates in $330.

Question: When libraries contribute records /add their holdings to OCLC, should these records be automatically downloaded from Kinetica once OCLC supplies them to Kinetica? Kinetica Response: When an Australian libraries adds holdings to OCLC, the library should receive a file of these records from OCLC to load to their local library system. OCLC also sends a file of records with holdings details to Kinetica to load to the NBD.
Question: Are there any problems in matching records sourced from suppliers such as Serial Solutions with other records on the NBD? Kinetica Response: The records will go through the same match/merge process as every other incoming records.
Batch*Link
Question on No/Ratio of records added, merged, going to manual review Kinetica Response: On average 20-30% of records are added, 60-70% are matched; 5% go to manual review. Remainder are rejected and contributing library notified.
(Note: the figures will vary considerably from file to file)
Comment: Several libraries have had problems with incorrect matching in Batch*Link, some due to local number changes Kinetica Response: Any problems with incorrect matching in Batch*Link should be notified to Kinetica as soon as possible so that the cause can be identified and fixed. In some cases it may be better for Kinetica to delete your holdings and reload with a file from your local system.
Question: What fields are updated in Batch*Link? Kinetica Response: If the following fields are not present in the Preferred record, the following MARC fields are transferred: All notes, Names (MARC 7XX), Titles (MARC 210, 222, 246), Subjects with a source (2nd indicator), Class Numbers (MARC 050, 082), Control numbers (001, 010-035, 034), Other numbers (MARC 086-088, 097), relationships (MARC 770-777), Holdings, URL (856), … There are also rules governing addition of other data elements.
Question: Can a match be effected on a local system number? Kinetica Response: Yes, if the library already has its local system number in the holdings record on the NBD
