Using CISTI as a Supplier from Libraries Australia Document Delivery

What is CISTI?

Libraries Australia Document Delivery customers are now able to search and request items from the Canadian Institute for Scientific and Technical Information (CISTI). CISTI is a Canadian-based document delivery supplier of technical, scientific, medical and agricultural materials and also has collections on nursing, nuclear related research and defence sponsored research.

Registering to use CISTI

If you wish to request items from CISTI via Libraries Australia Document Delivery, you need to be registered with the same details on both Libraries Australia Document Delivery and CISTI’s system. Please send an email to us indicating your NUC, contact name, contact phone number or email, preferred method of delivery and a delivery address, and an expression of interest in accessing CISTI .  Libraries Australia staff will send your location details to CISTI and notify you when you can begin requesting.

Once you are registered on the CISTI system, you are able to search the CISTI catalogue via Libraries Australia Document Delivery and request from them. CISTI locations will display with a NUC sumbol of IOON. If you decide to request an item from CISTI, click on the request button as normal and add CISTI to the rota, using the NUC symbol IOON.

Delivery

Document delivery is by airmail, fax, or Ariel (to an IP address or to an email address).  Please be aware the mailbox limits apply if email is your preferred delivery method.

Prices

Current CISTI fees are available at http://cisti-icist.nrc-cnrc.gc.ca/docdel/prdocdel_e.html. For those libraries requesting under the CAUL agreement a discount of 20% will apply.  Libraries Australia Document Delivery will log the transactions, and you will be billed via the Libraries Australia Document Delivery Payments Service.   Each Libraries Australia Document Delivery customer is responsible for fees for lost or overdue books (see FAQ on CISTI's Website at http://cisti-icist.nrc-cnrc.gc.ca/docdel/faq_docdel_e.html) . All requests to CISTI will be included in your transaction reports and invoiced via Libraries Australia Document Delivery. The exact amount you will be charged will depend on the exchange rate at the time of Libraries Australia Document Delivery billing. Libraries Australia Document Delivery Payments Service Requestor Report will detail the CISTI amount, the exchange rate and the Australian dollar value.

Some libraries may also incur a copyright fee. If your library belongs to a commercial body (eg private company or industry), this charge will apply to certain requests. Details can be found on the CISTI Website.

Turnaround times

The average CISTI turnaround time is less than one day.

Requesting from CISTI in Libraries Australia Document Delivery

Once your access to CISTI has been established by Libraries Australia Document Delivery Administration you should be able to search CISTI by selecting it from the drop-down menu in your Current Profile on the Advanced Search screen:

If you wish to create a CISTI different profile, for example, to allow simultaneous searching of the Libraries Australia Search and CISTI databases, click on the Profiles button at the top of the Advanced Search screen.

Then click on the Create button at the bottom of the screen:

Enter a Name and Description for your new profile, then click in the box opposite CISTI in the available databases listed at the bottom of the screen. Click on the Submit button.

You will now be able to select your CISTI profile on the Advanced Search screen.:

From here you can carry out your Bibsearch, and request the item required from the results screen.

If you wish to be able to request items from Infotrieve via Libraries Australia Document Delivery, you need to be registered with the same details on both Libraries Australia Document Delivery and Infotrieve’s system. Once you are registered on the Infotrieve system, you are ready to go, and all requests to Infotrieve will be included in your transaction reports and invoiced via Libraries Australia Document Delivery.

Infotrieve Database Trial

From June 2007, the new z39.50 compliant Infotrieve Australia database will be available to Libraries Australia Document Delivery users who are registered for requesting from Infotrieve. The Infotrieve Australia database is being offered on a trial basis.

If you are an existing LADD customer with access to Infotrieve already established, the Infotrieve Australia database will be automatically made available to you as a searchable target.

If you are an existing LADD customer, but you do not yet have an Infotrieve account  for access via LADD, you may request  LA Customer Service to register your library to be able to search the Infotrieve Australia database and request from Infotrieve – http://www.nla.gov.au/librariesaustralia/contactus.html.

What is the infotrieve database?

The Infotrieve pilot z39.50 database comprises the official records for items available from a subset of Infotrieve sources. The records selected for inclusion in the Infotrieve Australia database are titles most relevant to Australian and New Zealand customers and titles with quality records available from Infotrieve's most reliable and efficient source collections who supply the same or next working day.

These sources are local and global collections where Infotrieve has a commercial sourcing agreement in place. The sources are either university libraries or commercial collections. As normal, articles are provided copyright compliant, via Ariel™ to an Ariel IP or standard email address.

The original records provided by these sources have been researched, verified, updated, amended, and converted into Infotrieve official records.

The format is MARC21 with fields displaying for:

Requesting from Infotrieve in Libraries Australia Document Delivery

There are now 3 options when requesting from Infotrieve via LADD:

  1. Copy and Paste Citation
  2. Use bib details resulting from hits on searches in other targets
  3. Use bib details resulting from hits on the Infotrieve Australia database

Options 1 and 2 require the manual input of 'IDOC' on the rota. Please note you can also add other locations to the rota and change the order of locations.

1. Copy and Paste Citation

If you already have a citation for the copy you want to request, you can click on the Create button at the top of the ILL Request Search screen

Copy and paste, or manually input, your citation into the appropriate fields in the ILL Request form, and make sure the correct Format Type and Service Type are displayed:




Click on the Rota button at the bottom of the screen

On the Rota Screen type the Location Code IDOC into the Add to Rota box, and click on the Add button. Then click on the Submit button.

2. Use bib details resulting from hits on searches in other targets

Carry out a bib search on any of your available target databases in Libraries Australia Document Delivery.

Select the record you want by clicking on the Request button on the right of the record

Complete the request form, and Click on the Rota button.

In the Rota Screen type the Location Symbol IDOC into the Add to Rota box, and click on the Add button. Then click on the Submit button.

To search the 'idoc' target through LADD, on the Advanced Search screen, select the available profile 'Infotrieve Australia'. You can submit searches by Title, ISSN, Place of Publication, Any, and Publisher.

Note: Should you wish to create a search profile to enable the searching of the 'idoc' target in combination with any other available targets, the lowest common denominator rule for broadcast searching applies - only searches using the search attributes common to all targets will return accurate results.

If your search returns a satisfactory result, click on 'Request', and you should be able to see the bibliographic details automatically populated in the request form. The 'Info Doc' location will be available for selection for the rota. Complete the part copy details on the Main ILL Request screen and hit 'Submit' or the 'Rota' tab. You should be able to see 'IDOC' automatically populated in the preliminary rota if you have selected the 'Info Doc' location on the Main part of the ILL Request details..

Document delivery is by airmail, fax, or Ariel (to an IP address or to an email address). The document price is the same whichever method is chosen.

Prices

Infotrieve documents for Australian users are priced as follows:

Library, Corporate and Government: A$20.46 (GST incl.)
Library, Academic and Not-For-Profit Organisation: A$17.05 (GST incl.)
   
RUSH service surcharge: A$13.20 (GST incl.)
PANIC/NEED BY service surcharge: A$26.40 (GST incl.)
   
Reprints: A$5.50 (GST incl.)

These prices include copyright and delivery. Documents over 50 pages are charged as two (or more) documents. If Infotrieve are not permitted to photocopy a document and have to purchase it from commercial sources they will quote the requester before going ahead with this.

Turnaround times

Because Infotrieve operates not from a single collection, but have 'runners' in many collections, it is impossible to be specific about turnaround times. About 55% of requests are shipped within 24 hours, 85% within 48 hours, but naturally, the more difficult the citation the longer it will take.

Infotrieve Service Levels

Rush Orders

RUSH orders take precedence at every stage of Infotrieve's operation, and are generally supplied in about half the time of regular orders. There is a surcharge of A$12.00 (plus GST) per document for RUSH. Rush requests should be identified with Australian Service Level of Rush in Libraries Australia Document Delivery, and a note stating that this is a Rush request.

Express Orders

Infotrieve call Express Orders - Panic/ Need By Requests. There is a surcharge of A$12.00 (plus GST) on top of the normal Rush charge. We will advise if there are any other charges. They should be identified in Libraries Australia Document Delivery with a Service Level of Express, and a note stating that this is a Panic/ Need By Request, and stating the date and time by which it is required. Requesters are also advised to ring Infotrieve to alert them and to discuss the urgency and potential solution. There may be instances where it will be impossible for the requested item to be supplied by the given deadline; in such cases Infotrieve will suggest alternatives.
