Changes to E-collection MARC records

From July 2005, the format in which MARC records for Libraries Australia E-collections are provided will change.

Instead of creating multiple records for a title belonging to more than one collection, and therefore creating duplicates in the Australian National Bibliographic Database (ANBD), a title-based approach will be taken. The duplicate records will be combined into be a single bibliographic record for each title, which will contain information identifying it as belonging to a number of different E-collections.

The main benefit of this approach is the reduction of duplicate records, both on Libraries Australia and libraries’ local systems. Other benefits include compliance with Library of Congress guidelines, and compatibility with Serials Solutions records for overseas collections.

The new format (as it appears on the ANBD) will be as used in the following record for Australian Lawyer:

Note: AKCS is the NUC symbol of the Libraries Australia test library.

Identifying collections

The collection(s) to which the record belongs is identified in a number of ways:

1. 091 field.
An 091 field containing a code for each collection will be added to the record. This will be used for the administration of the collection, and will NOT be output in the records supplied to libraries.

2. 856 field.
There will be an electronic location and access field (856) for each collection to which the title belongs. A ‘3’ subfield will be added to generic and institution specific 856’s, which will identify the collection and provide coverage information.

In the example, ‘AKCS’ has a subscription to APAFT, where full text of Australian Lawyer is available from September 1995 onwards.

Libraries are encouraged to request the addition of an institution specific 856 to enable easier identification of the collections to which they subscribe.

3. Holdings statement.
An extra ‘c’ subfield will be added to each holding statement (850 field on Libraries Australia) identifying the collection to which the institution subscribes, and what conditions exist for access and document delivery. For example,

Libraries are also encouraged to include in their holdings statements information about the availability of the title, both for offsite or walk-in use, and for document delivery.

Test files

The two files available below contain sample records for loading as a test to your local system. One contains institution specific 856 fields (for the Libraries Australia test library NUC symbol ‘AKCS’) and the other contains generic 856 fields.

Quarterly Updates

Quarterly updates of records for new, amended and deleted titles for the combined collections will continue to be provided in one of two ways:

1. One file of updated/new records and one file of records for deletion.  If a title has been deleted from one collection, but still exists in another that is subscribed to, the record will be provided as an update.

2. One file containing a total refresh of all records. This will require libraries to set up procedures to delete the old records from their local system before loading the new records.
