Part E.1: Interim record standards
Interim records are input directly onto the database via an interim input screen obtained using the appropriate form-int command. (See ABN interim record manual).
The following standards for book, serial and nonbook interim records conform to the first level of description in AACR2R. Only the fields and subfields that are mandatory, or required if available and/or applicable are listed, other fields and subfields are optional.

Part E.2 : Minimum record standards
This Part details the minimum content of a cataloguing record which can be contributed to the ABN database for the following types of material:
Books
Serials
Nonbooks
In analytics
Input records which do not meet these requirements will be returned to the user's working file for amendment. Users are encouraged to input information above the minimum level (except in interim records) wherever possible.
Wherever diacritics or special characters are required by AACR2R in the description or in access points, it is essential to input them.
It should be noted when applying these standards that:
a. They apply only to the shareable data in the record, not to any institution specific data.
b. Any field not listed is optional (with subfield 'a' mandatory if the field is supplied).
c. Where a field is listed, any subfield not listed is optional.
d. In the fixed fields, any element not listed is optional.
e. If an optional field is supplied, certain subfields may be mandatory or required. For example, the field SUP need not be supplied even if appropriate, but if the field is supplied it must contain an 'a' subfield, while subfields 'b', 'c', 'd', 'q' and 't' should be given if required by AACR2R.

Participants are reminded of the usefulness of adding to records for
annual reports a subject heading for the body issuing the report. This practice
is encouraged because it significantly improves the retrieval of annual

Part E.3: High level record standards
Introduction
This Part details the content of high level cataloguing records which
can be contributed by participants to the ABN database, and contains the
following standards:
Statement on national bibliographic practice
Books
Serials
Cartographic materials
Music and sound
recordings
Motion pictures, videorecordings and graphic materials
Computer files
Records catalogued to these standards will not be 'bumped' by incoming national agency records if coded as high level. The bumping hierarchy is listed in Part F.4 of this manual, and the LCD field used to flag high level records is described in the ABN data preparation manual Part 2.
Participants are free to choose whether they are content to have their own original cataloguing records replaced by national agency records, or whether they will catalogue to an agreed high level which will preserve their records on the database.
The contributed high level cataloguing record content must equal or approach the standard of a national agency record. This principle is considered necessary, particularly in the case of Australian records, as the Australian National Bibliography will be produced from ABN, using contributed records.
For this reason, many elements not normally considered part of cataloguing data by many libraries are insisted upon for the contributed high level record, e.g. detailed physical description area, including dimensions of item, as these are of importance in the national bibliographic record.
Participants contributing high level records will be required to verify all access points on the Vocabulary File and add references as required.
Participants may also upgrade existing database records to the level prescribed in this document and add the LCD field to such upgraded records. ABN cataloguers who enhance national agency records may flag them as high level to protect them from being replaced on the database, provided that the national agency record contains descriptive cataloguing to AACR2 level 2, appropriate subject access, and a classification number.
It should be noted when applying the high level record standards that:
a. Any field not listed is optional, or not required.
b. Where a field is listed, all subfields are required if applicable
unless specified.
c. The encoding level (ENC LV, leader/17) must be
blank on a high level record.
Statement on national bibliographic practice
Participants wishing to create a high level record are required to follow certain policies developed by the national bibliography. Specifically these include:
Uniform title
A uniform title must be assigned in all cases
where it is applicable, including translations of works whether wellknown or
littleknown, literary or scientific. Collective titles are not essential.
Physical description area
A full description including
preliminary paging, full range of physical details, and dimensions of item
should be given.
General note
When applicable, notes must be given for all
categories of note specified in AACR2R i.e. notes relating to bibliographic
history, nature, scope or artistic form, language, title, statements of
responsibility, physical description, series, audience, identification numbers.
Contents note
A contents note must be given when an item is
made up of several discrete works with separate titles, provided that there are
no more than 5 titles, i.e. a multivolume monograph with separate titles for
each volume or a collection of music scores, e.g.
Gold Coast area transport study, 1980 / prepared by Main Roads Department in conjunction with 2 v. (45 p., 16 folded leaves of col. maps; 71 p., 8 folded leaves of col. maps) : ill. ; 30 x 43 cm.
Contents: pt. 1. Forecasts and recommendations pt. 2.
Technical
analysis.

approved headings. In the case of geographic subject headings, an agreed list
of authoritative sources is given in Part C.7 of
this manual.
Dewey Decimal Classification
For those participants choosing
to use the Dewey Decimal Classification, the following practices are to be
observed:
a. For high level records the DDC number should be the current edition to the fullest expansion of the schedules, including changes listed in DC& (Dewey decimal classification additions, notes, and decisions.)
b. The preferred treatment rather than the exceptions should be followed throughout the schedules except that:
c. For English language literary works, the option given in the schedules should be followed and the alphabetic prefixes plus specific period numbers from the table for Australia, New Zealand, New Guinea, South Africa, India and Ireland should be used.

b. Bibliographic level (BIB LV, leader/7) is preset at 'm' (for monograph items) and cannot be changed. Participants may choose to enter cartographic serials according to the nonbook or serial format, however, this high level standard can only be used for nonserial cartographic materials because of the lack of essential serial fields.

Motion pictures, videorecordings and graphic materials
A contributed high level motion picture, videorecording and graphic material record on ABN will consist of the following elements.

a. Record type (REC TYPE, leader/6) is preset at 'g', which is the appropriate code for motion pictures and videorecordings. However, this must be overtyped to 'o' (letter o not zero) for graphic materials.
b. Bibliographic level (BIB LV, leader/7) is preset at 'm' (for monograph item) and cannot be changed.
