Part F.1: Filing rules in the ABN catalogues

Introduction

Filing rules used in the indexes to the ABN Catalogues are based on the Library of Congress filing rules. Users should refer to these rules for a full understanding of the ABN Catalogue filing sequence.

However, exceptions to these rules have been made for the filing of the ampersand and roman numerals in titles. These exceptions are detailed within the brief summary of ABN filing which appears below.

Entries in the indexes are filed alphabetically word by word, and words are arranged character by character. A word is one or more characters set off by spaces. A word does not have to be pronounceable. Initial articles are ignored in filing, e.g.

1 x 1 equal 1                             (l is a word)

Punctuation

An apostrophe is ignored in filing. Elided words, possessives and other words with 
apostrophes are arranged as one word, e.g.

ABC's of tape recording                   (ABCs is a word)

It's a beautiful day                      (Its is a word)

Jean's opportunity                        (Jeans is a word)

Punctuation other than the apostrophe, e.g., hyphen (), comma (,), period (.), slash
(/), is dropped for purposes of filing and a space is left in its place. If the mark
of punctuation is followed by a space, only one space is left instead of two. Thus, 
hyphenated words are filed as two words, e.g.

Note: I.Q. and IQ are filed in two different places. I.Q. is filed as I Q where I and Q are each words. IQ is filed as one word since there is no space between I and Q.

Words and abbreviations are filed as spelled, such that Dr. is not filed as Doctor, e.g.

Ampersand

An ampersand (&) is filed as if it were spelled 'and'. This is an exception to LC rules. e.g.

Numerals

Numerals are arranged numerically before alphabetic characters.
Numbers expressed as words are filed alphabetically, without regard to the number represented, e.g.

Historical dates in titles are filed as numbers rather than dates, e.g.
1969 riots                              (1969 is filed as 1,969)
The 1971 deer population                (1971 is filed as 1,971)

Since entries are arranged alphabetically word by word and words are arranged character by character, a title may be filed in more than one place in the Resource Directory depending on whether the number or a word was used, e.g.

2rabbit, 7wind                              files in numerical order before alphabetic characters, at the 
beginning of the Title index preceding any titles beginning 
with the letter A.
Tworabbit, sevenwind                        files alphabetically among other
titles beginning with the letter T.

Roman numerals

Rules for filing roman numerals follow closely the filing rules for abbreviations and initials, and are an exception to LC rules. e.g.

However, if roman numerals are in a name and are specifically subfielded they are arranged in numerical order, e.g.

Abbreviations, initials and acronyms

Initials separated by marks of punctuation and/or spaces are treated as separate words. Acronyms and initials not separated in any way are treated as single words regardless of capitalisation, e.g.

Names with prefixes

A prefix that is part of the name of a person or place is treated as a separate word unless it is joined to the rest of the name directly or by an apostrophe without a space, e.g.

Comprehensive punctuation and filing in the subject index

Although a human can adapt to a library's particular filing arrangement, a computer uses prescribed instruction in order to file. Thus, while a human can disregard punctuation in subject subdivisions and subfile alphabetically, the computer follows a given set of rules and does not make its own intellectual decisions. In a subject heading in the Resource Directory, each mark of punctuation denoting subdivision represents a different category, and thus a different filing sequence.

When the first word(s) of two or more subject headings are identical but are qualified by different means, the headings appear in the following order:

Part F.2: Romanisation standards for ABN

While it would be desirable to process entries in their original script, current hardware and software facilities make this impossible. Therefore ABN will accept romanised records in any language for which the Library of Congress has a romanisation table, and ABN require that that form be used for input.

F.2.1 Romanisation of Chinese.

The preliminary standard for Pinyin romanisation is as follows:

i single syllable word division

ii capitalisation according to AACR2 Appendix A.34 for scripts without a system of capitalisation.

iii in order to harmonise the standard for Pinyin romanisation of Chinese in ABN and the National CJK Service, the Standards Committee recommends that the ABN standard be modified so that personal names and geographical names in Pinyin romanisation should have their syllables joined without the use of hyphens. [ABN/SC/1996/RES/19]

iv Add the Pinyin form of geographic qualifier to headings in the Pinyin form,
[ABN/SC/1993/RES/23]

v. Chinese geographic names used in Library of Congress topical and geographic subject headings should follow LCSH policy. [ABN/SC/1993/RES/24]

'SEE' references from Pinyin to Wade-Giles romanisation should be made as 'SEE ALSO' notes. In applying Library of Congress Name Authorities to romanised Chinese headings in ABN, do not create 'see' references from Pinyin to Wade-Giles, create 'see also' notes instead.

Participants need to be aware of the bumping hierarchy when duplicate records are encountered on the database. The record higher in the priority should be chosen for addition of holdings because the higher priority record will be retained in the duplicate removal program.

The policy on the replacement of records in the ABN database is as follows:

A library or consortium is permitted to input high level original records which will not be subject to bumping by any national agency record. The records should include a code to indicate their status (LCDN x 3 field). ABN Data preparation manual Parts 2,3 and 4, and ABN technical bulletin 22 provide details on the use of this field.

The level of input of these records is comparable to that used for the creation of ANB records, with the exception of AUSMARC coding. The standards for the various formats for contributed high level records are set out in Part E.3 of this manual.

These records are subject to review in accordance with network standards.

Another library using the record may propose changes to a high level record through the normal change procedure, using the VERIFYM command.

Records may continue to be input at a level no lower than the minimum standards specified in Part E.2 of this manual. Such records may be bumped by national agency records higher in the bumping order.

The National Library will use ABN contributed records as the basis of the record to be used in ANB.

ABN contributed records (high level) will not always contain all the information held in a national agency record which matches it. The National Library will seek means of capturing this information and adding it to the ABN record, particularly in the case of ISSNs and LC call numbers.

Institution specific data attached to any record is transferred when the record is bumped by an incoming national agency record.

These guidelines will also apply to national agency records upgraded by an ABN user. For example, if a participant ugprades a BNB record to high level standard and adds a LCDN x 3 field, that record will not subsequently be bumped by an incoming LC record.

Retrospective file conversion

During loading of retrospective records, if a retrospective record matches an existing full record, the incoming record is not accepted and the existing record is retained on the database. Do not replace the existing record. [ABN/SC/1993/RES/15]
