Libraries Australia Record Export Service

The Record Export Service (RES) enables you to obtain MARC records from Libraries Australia via the Internet for loading into your local library system.

You can elect to pick up your record files up to 6 times a day, 7 days per week. Downloads occur at 8.30, 10.30, 12.00, 2.00, 4.00 and 6.00 according to your chosen schedule.

Downloaded records are output in MARC21 and collected from the RES server. To obtain free test files go to the Libraries Australia Administration System.

How to register for the Libraries Australia Record Export Service

The Record Export Service is the new MARC*Link service.  It enables libraries to obtain MARC records from Libraries Australia via the Internet.  As a Record Export Service library, you will be able to search for records in Libraries Australia Search and then use the ‘export’ button to download these records into a file.  Records can also be triggered for download by adding, editing and deleting holdings. This file can be found in the Libraries Australia Administration system and downloaded to your local library system.  Libraries have the option of up to 6 downloads a day at scheduled times. 

If you would like to have access to the Record Export Service you must complete the following registration steps:

  1. Log in to Libraries Australia Administration (http://librariesaustralia.nla.gov.au/apps/laadmin) using your organisation’s Customer Administrator Login.

This is the screen you should see as Customer Administrator.

  1. Select the blue ”Export” tab towards the top of the screen.
  2. The “About” screen will display and gives you details about the Record Export Service.
  3. Selecting the “Test Files” tab will enable you to download test files.  You can run a test by loading these files up to your local system.
  4. Select the “Register” link to display the Record Export Service registration form.  If you have any difficulty with the terms on the form please use the “Help” link located in the top right hand corner of the screen.
  5. Your Record Export Service Requirements refers to the details of how your files will be created.  Select the Actions to trigger record downloading, eg. Export Record.  You may specify more than one type of action.  If you don’t know the other details required for completion of the registration form, please contact your IT department or system vendor.

  1. The Record Collection Location enables you to have your records downloaded to the files of another organisation.  For example, you may wish to use this if you catalogue for another library or agency.

  1. The Record Export Service Contact Person is the contact person if Libraries Australia needs to contact your organisation about Record Export Service issues and news.  All fields relating to the Contact Person are mandatory.

  1. Enter the User ID that you would like to have as the Record Export Service manager in the Special instructions box.  The Special instructions box is also for any information you think might be necessary that isn’t specified elsewhere on the form.  For example, if you were previously a TPSDLL or MARC*Link customer, please write this in the Special Instructions box.
  2. Once you have completed the form please click on the “Next” button.  You will then be asked to confirm your request.
  3. Click on the “Submit” button on the confirmation screen.

Note- at least one download time should be specified as part of the setup procedure;.

Once your request is processed by Libraries Australia Record Export Service staff the Record Export Service contact person will receive an email.  A charge of $58.50 will be generated and automatically added to your next Libraries Australia invoice.


If you are unsure of your Customer Administrator login or don’t have one, please send an email to the Libraries Australia Help Desk (librariesaustralia@nla.gov.au) specifying which of your organisation’s logins you would like to give Customer Administrator access to or requesting a new login for Customer Administrator.
