Upgrading existing database records
Any upgrading of a bibliographic record may be made, providing that the upgrading is consistent with:
- AACR2R;
- the latest LCSH terms, and approved Australian extensions to LCSH;
- the Libraries Australia standards as available on the web and other documentation
and that:
- Changes to bibliographic records must reflect the item being catalogued.
- Whenever a change is made the Cataloguing Source field (040) must be added or expanded with a subfield 'd' containing the NUC symbol of the library that is making the change.
Required changes
When a database record is selected for the addition of holdings (copy cataloguing), it is recommended that cataloguers check the record and make the changes listed below, if required:
- Correct typographic or transcription errors in the title proper or other title information (subfields 'a' or 'b' of the 245 field).
- Apply an Australiana flag in any record describing an item with Australian content (refer to the Libraries Australia Cataloguing Manual for a definition of Australian content)
- Supply a geographic area code field if it is appropriate. These may be applied for geographic areas associated with a bibliographic item.
- Supply a standard number (e.g. ISBN, ISSN or ISMN) or Library of Congress control number if none exists in the database record, and a number is available in the item being catalogued.
- Change the encoding level to a blank when a record is upgraded to high level standard.
- A CIP record should be upgraded to full encoding level by the completion of title, imprint, collation and note information, and changing the encoding level from '8' to a blank.
- Country of publication code for Australia (at) may be changed to Australian codes for the individual states.
- Change name headings (including names used as subjects) to the current AACR2R form. Effected by changing the relevant headings and Authority records.
Additional permitted changes
- Typographical and transcription errors in any field may be corrected. This includes spelling errors in a note field, an incorrect pagination in the physical description field, a typing error in a fixed field, etc.
- A second ISBN may be added to the record, providing that the record is for the same manifestation e.g. for a different binding.
- Preliminary paging may be added to the physical description field.
- In a record for a multivolume work, a contents note may be added or expanded to reflect new volumes or parts, and added entries given for individual volumes.
- For a record for one volume of a multipart work, details of the complete set can be added in the series area.
- The 008 fixed field character positions 11-14 may be amended to reflect an extension of the volumes or parts given in the contents field.
- Temporary data enclosed in angle brackets < > may be updated, and angle brackets removed if completed data is supplied.
- A Dewey or LC class field, containing a number which occurs in a valid edition of the classification, may be added to the record if one is not already present.
- A Dewey field for a different edition of DDC, or a valid option within the same edition of DDC, may be added to the record.
- Editor main entry may be changed to editor added entry.
- A statement of responsibility may be added.
- Corporate body main entry may be changed to title or personal name main entry.
